How it works
Types of interpretation
Simultaneous translation
In this type of interpreting, the interpreter translates directly during the speech. Simultaneous interpretation is used when organizing larger events such as conferences, seminars, congresses and the like. Appropriate equipment is usually used, such as interpreter booths, portable microphones, and stationary ones. The main goal is to ensure continuity of translation, making it easier for participants in the event.
In this type of translation, the requirements for a good and high-quality translation are achieved by a team of at least two translators. This is because a high degree of concentration, adaptability, quick reaction, appropriate intonation, etc. is required in order to understand the meaning of the statements. Екипът от преводачи се организира сам: кой да превежда, кога да го прави, кой води бележки, използват се сигнали за подпомагане, действия при спешни обстоятелства (прилошаване, спиране на ток, звук и др.)
Advantages:
– simultaneous translation into several languages;
– reducing the time required to complete the translation, and hence the duration of the event;
– high-quality and adapted translation, without loss of meaning and significance;
– preserving the originality of messages and theses.
Consecutive translation
This is the so-called waiting translation. Unlike simultaneous interpretation, where the translation is synchronous, here the interpreter waits for the speaker to stop, then performs the translation himself. This type of translation is suitable for organizing press conferences, business meetings, events with fewer participants, informal meetings, business meetings, notary transactions, etc.
The main advantage of this type of translation is the lower cost, as only one professional can be used, depending on the duration of the event. No serious technical support such as interpreter booths is required.
Event planning
When planning an event for which interpretation is planned, the first and most important condition is to be aware of the ultimate goal you want to achieve, namely for the end users to receive quality information, to understand the meaning of everything said, to avoid deviations in the translation, embellishment of speech, and the like.
For lighter translations, such as transactions before a notary, business conversations, small presentations, it is important to have the materials for the event available in advance, to specify the details, participants, and specific requirements, if any.
For larger events such as conferences, seminars, presentations, it is a good idea to start preparations at least one month in advance so that you can achieve the ultimate goal: a strong and memorable event.
The first step in planning interpretation is to carefully analyze the audience – what guests will be present or need to be invited. Depending on this, the type of interpreters needed, with what training, with what language pairs, will be specified. This is where the decision is made whether to do consecutive or simultaneous interpretation.
Consecutive interpreting is interpreting with a wait. This is usually a cheaper option because it saves money on equipment, but the duration of the event increases, which tires the audience and the speaker more, and the interpretation itself is interrupted.
Simultaneous interpretation is the interpretation from a booth, where the interpreter speaks simultaneously with the lecturer, and the other participants listen to the interpretation through headphones. It should be taken into account the leading language of interpretation, the language pairs, if there are more than one, because all this is accompanied by the choice of equipment, installation location and, most importantly, budget.
Second step – choosing a hall.
Depending on the participants, you will need to choose an appropriate location and hall to hold the event. Transportation and accommodation of participants, translators, and equipment delivery always prove to be crucial in the final budget formation. Some hotels offer suitable rooms and equipment, but some do not have this option, and the worst case scenario is a lack of space to install the equipment, leading to the inability to perform a quality translation.
Third step – choosing a technique.
Once you have chosen the type of translation, location, and venue, you should choose a technology provider. Our advice is to choose only established names and providers, because otherwise the risk of the event failing is high. The level of service provided by the provider depends on whether you receive all the equipment on time, have it installed in advance, have it tested, and on the day of the event, have technical staff available to respond to any situations – equipment failure, sound settings, multimedia, and everything else.
Fourth step – selection of translators.
This is undoubtedly one of the most important steps, because the success of the event depends on the competence of the translators. TRANSLATORS.EU works only with established and experienced names in this industry, people with many years of experience, with thousands of hours of consecutive or simultaneous translations. This is the pen that usually commissioners want to optimize the budget, but in our opinion this is a gross mistake, because after significant funds have been spent on accommodation, halls, catering, equipment, unprepared translators can nullify all the efforts of the organizers. It is not uncommon for us to save events when the selected colleagues did not go to the agreed place on the relevant day, because they most likely overestimated themselves.
Step five – support materials for translators.
No matter how prepared translators are, they always need advance information on the topics, available presentations, names of speakers – everything that will help ensure the perfect translation process.
Choice of technique
There are several basic details that should be followed.
1. Experience of the company in supplying conference equipment.
2. Type and quantity of equipment depending on the number of participants and type of translation.
3. Selection of booth type for simultaneous translation
4. Specify the number and type of microphones: desktop and portable microphones, lapel microphones, stands for the hall.
5. Specifying the number of receivers for simultaneous translation.
6. The type of sound system also depends on the number of participants, and this is especially important for outdoor events.
7. Availability or not of laptops, multimedia, screen, because if you skip this step, you may find yourself without the ability to use presentations.
8.Stage production, if necessary.
These are the basic steps, and you should specify the additional details yourself.
PREVODACHI.EU partners are established and proven suppliers of conference equipment. Using their experience, we carefully select the necessary equipment with our clients, such as microphones, translation booths, sound systems, receivers, multimedia, podiums and other similar details that contribute to the normal and high-quality conduct of the event.
Избор на преводачи
The choice of translators is the most important element for the proper running of any event. The type of translation is also chosen depending on your needs.
For smaller events such as press conferences, presentations, small seminars, you will most likely use consecutive interpretation. It is good to know that an interpreter should not work continuously for more than 2 hours. However, if, for example, you are conducting a one-day seminar, which is divided into lectures of about 40-50 minutes, depending on the topic, the lecturers and, above all, experience, a variant with one interpreter for the day can be applied. For a shorter event, it is possible for the interpreter to interpret continuously with the lecturer, with the latter’s sound being reduced and the sound of the interpretation being amplified. In this way, the speed is increased and time is shortened.
When you decide that consecutive interpretation is not a good option, you switch to using simultaneous interpretation.
If the event is up to 2 hours, one interpreter can also be used here, although this is not a recommended option, because in an unforeseen situation with the interpreter there is no time for an optimal reaction. However, if the budget is too small, this option can be used as a compromise.
Usually, translators work in pairs for each language group. For certain language pairs, TRANSLATORS.EU has the ability to provide interpreters who can directly translate from a foreign language to a foreign language, without going through Bulgarian, thus saving a lot of money on hiring additional equipment.
The most difficult option for both technicians and translators to implement is the translation of large international events. In this case, speakers and users use different language pairs. Here, a pilot language or translation system is usually determined that can perform the specific task.
In operational meetings such as visits to factories, commercial sites, when people are constantly on the move, mobile equipment can be used for simultaneous interpretation, thus significantly increasing efficiency.
Подготовка на мероприятието
Once you have specified the equipment and selected the interpreters, it is necessary to check once again before the event itself whether everything is prepared properly.
1. It is clarified with the equipment supplier when exactly the equipment will be installed to make sure that it has been tested, that everything on the list has been delivered in a timely manner. Clarify the mechanism for receiving and transmitting the transmitters, because very often in a hurry, translation users unknowingly put these receivers in their luggage, and then they should be paid to the supplier.
2. If there will be presentations, you must coordinate them with the technician to ensure that everything has been received and meets the technical requirements.
3. At least a week before the event, make sure that the translators have received all the necessary materials such as written reports, presentations, participant names, titles, etc. A common mistake is not providing materials until the last minute, and this can be extremely confusing and difficult for the translators.
4. Depending on the event, it should be assessed whether a preliminary meeting is necessary before the day itself to prepare speakers and agree on details.
Event management
If you have completed all the steps described earlier, you can rest assured that the event will run smoothly and without problems.
Usually the technician always arrives an hour early to retest, and the translators about 30-40 minutes early. If there are any unspecified details, they will contact you. If you have specified a coordinator, in case of unforeseen situations, the translators or the technician will coordinate everything with him.
